Scheduled Email Reports
Scheduled Reports:
Your Business Numbers by Email, Automatically
Stop opening the CRM just to see how the day went. With the Scheduled Reports module in Zarina CRM, you get sales summaries, pipeline, leads, overdue invoices and support status delivered automatically by email — at the hour you choose, to your whole management team. Data-driven decisions, with zero manual work.

Why you need automated email reports
Management doesn't have time to dig through the CRM every morning. Scheduled reports bring the information to them, exactly when and how it's needed:
Set the exact time the report goes out — 8:00 AM to start the day, or evening for a wrap-up. The system respects the schedule you set.
Combine several report types (sales, pipeline, overdue invoices) into a single clean email, ready to read at a glance.
Add as many recipients as you want — director, accountant, head of sales. Everyone gets the same numbers, at the same time.
Set it up once. Then the CRM calculates, formats it professionally and sends on its own — no Excel exports, no copy-paste.
The reports that matter, prepared automatically
You choose what to track, and Zarina CRM pulls the real numbers from your database and sends them in a corporate format. The available report types:
Daily Summary — Sales
New leads, quotes sent, invoices issued and today's payments — the daily pulse of the business, every morning.
Weekly Summary — Pipeline
Opportunity progress, open pipeline value and unpaid invoices, for a clear picture of the week.
Monthly Summary — Financial
The month's balance: leads, accepted quotes, collected revenue, conversion rate and won opportunities — ideal for the management meeting.
Leads — Overview
New leads today, over 7 days, this month and the active total. See instantly how you're feeding your sales funnel.
Overdue Invoices
The number and amount of overdue and unpaid invoices. Cash flow under control, with no end-of-month surprises.
Pipeline & Support
Open, won and lost opportunities, plus the status of support tickets — sales and clients, in a single view.
How does it work? From setup to the report in your inbox
You build the schedule once, and then everything happens automatically, in the background:
Choose the Reports
Check one or more report types that will be combined into a single professional email.
Add the Recipients
Type the email addresses as tags — one email, press comma, done. As many recipients as you need.
Set Frequency & Time
Daily, weekly or monthly, at the exact hour you pick from the list. Preview the email on the spot.
The CRM Sends on Its Own
A scheduled process checks the timing, calculates the real numbers and sends the report through the company SMTP.
Receive & Decide
The report lands in your inbox on time, with up-to-date data. See the trend and make fast, informed decisions.
Full control, set up in two minutes
The interface is built for speed and clarity, with no technical knowledge required:
Recipients as Tags
Add emails as interactive chips: press comma and they turn into a tag. Edit with a double-click, remove with an "✕". Invalid addresses are flagged.
Live Preview
See exactly how the email will look before you schedule it. Change the report types and the preview updates instantly.
Send Now
Need the report right away, outside the schedule? A "Send now" button dispatches it immediately to all recipients.
Multiple schedules, turned on/off anytime
Create as many schedules as you want — a daily one for the sales team, a monthly one for management — and activate or pause them with a single click, without deleting them.
Real numbers, straight from your database
The reports are not estimates — they are pulled live from the CRM at the moment of sending:
- Up-to-date data: each report recalculates the values at the moment of dispatch, so you always get the real situation, never a stale one.
- Authoritative sending: emails go out through the company's central SMTP, with a corporate format and optimal deliverability.
- Anti-duplicate: the system remembers the last send and won't resend the same report twice on the same day.
[SCHEDULE] Schedule "Morning Summary — Management" due (set time: 08:00). ✓
[DATA] Live extract: 12 new leads | 4 quotes sent | 8,450 RON collected today.
[COMPOSE] 3 reports combined into a single corporate HTML email.
[SEND] Dispatched to 3 recipients via SMTP. last_sent updated.
[RESULT] Report delivered successfully. Status: 200 OK.
Frequently asked questions about Scheduled Reports
Everything you need to know about automated email reports in Zarina CRM.
1. Can I choose the exact time I receive the report?
Yes. For each schedule you choose the exact hour (00:00–23:00) at which the email goes out. For example, the daily summary at 8:00 AM. The system will not send before the set time.
2. Can I combine multiple reports into a single email?
Yes. You check several report types (for example sales + pipeline + overdue invoices) and they are all combined into a single clean HTML email that's easy to scan.
3. How many recipients can I add?
As many as you need. You add addresses as interactive tags — type the email and press comma or Enter. Each recipient (director, accountant, head of sales) gets exactly the same numbers, at the same time.
4. What report types can I schedule?
Daily summary (sales), weekly (pipeline), monthly (financial), plus dedicated reports for leads, overdue invoices, opportunity pipeline and support tickets. The list can be extended on request.
5. Are the numbers in the report up to date?
Yes. The reports don't use old data — the values are calculated live from the database exactly at the moment of sending, so you always get the real, current situation.
6. How often can the reports be sent?
Daily, weekly (on Monday) or monthly (on the first day of the month), at the chosen hour. You can create different schedules with different frequencies in parallel.
7. Can I send a report immediately, outside the schedule?
Yes. Each schedule has a "Send now" button that dispatches the report on the spot to all recipients — handy before a meeting or for a quick check.
8. Do I need to know programming to set them up?
No. Everything is done visually: you choose the reports, add the recipients, set the frequency and time, preview and save. Setup takes under two minutes.
9. Can I temporarily pause a report without deleting it?
Yes. Each schedule has an active/paused toggle. You disable it when you don't need it and restart it anytime, keeping all settings intact.
10. How are the emails actually sent?
Through your company's central SMTP, with a correct sender address and a professional format. A scheduled process (cron) periodically checks the due schedules and dispatches them automatically.
Let the numbers come to you starting today!
