Zarina CRM Construction · Fit-out profile

Software for fit-out and renovation companies, with estimates by section and clear job stages

In fit-out and renovation, money is lost between the estimate and reality. The client asks for a change along the way, the team does the work, and at the end nobody knows exactly what was added and whether it was invoiced. Zarina CRM keeps the estimate by work section, the changes requested along the way and the real expenses in the same place, so at handover you see what is left of the margin. It is installed on your company’s server, with a lifetime licence.

The stages of a fit-out

The eight stages, exactly as the application has them

They are not a presentation diagram. They are the stages the Fit-out profile brings predefined, with the job moving through them.

1

Site visit and measurements

The first visit to the client, with the dimensions and condition the estimate will be built on.

2

Design and choice of finishes

Solutions and finishes are agreed, and with them the prices in the estimate.

3

Strip-out

Strip-out and debris removal, each with its own estimate section.

4

First-fix MEP

Plumbing and electrical before closing up, with what was actually used.

5

Wet trades and finishes

Plastering, screeds, tiling, painting and drywall, in separate sections.

6

Installation and handover

Doors, joinery, snagging, final cleaning and handover to the client.

The estimate

Twelve sections, prepared from the start

An estimate by section is not bureaucracy. It is the only way to know, halfway through the job, which part ate your margin.

Structure and MEP

  • Strip-out and demolition
  • Debris removal
  • Plumbing
  • Electrical

Wet trades and partitions

  • Plastering and skim coats
  • Screeds and flooring
  • Ceramic and porcelain tiling
  • Drywall: false ceilings and partitions

Finishes and installation

  • Painting and decorating
  • Interior doors and joinery
  • Furniture and installation
  • Final cleaning
The part that costs

Changes requested along the way

No fit-out ends exactly as quoted. The difference between a profitable company and one working for free is what it does with changes.

  • A change gets recorded, not remembered. The job has room for changes requested after the estimate was signed, with what they add to price and timeline.
  • The estimate stays comparable. You can put what was quoted side by side with what was done, for every section.
  • Progress valuations come out of the application. There is a progress valuation module with PDF generation, so stage payments are not settled by text message.
  • Handover has its own file. The handover module produces the handover document, also as PDF.
Money control

What came in and what went out, on every job

Estimate and quotation

The estimate is built by section and goes to the client as a quotation, with a PDF.

  • Estimate by section
  • Quotation generated from the estimate
  • Approvals before sending

Expenses and budget

Expenses are linked to the job, not kept in a separate register.

  • Budget per job
  • Expenses and cash
  • Real cost against the estimate

Materials and teams

What went to site and who worked, in the same record.

  • Site stock
  • Procurement and suppliers
  • Subcontractors
  • Equipment
The people on site

Reporting should not go through the phone

  • There is a field screen. The team reports from site what was done, without calling anyone at the office.
  • Every job has an owner and a team. You see who is responsible for what, even with several apartments or villas in progress at once.
  • The client gets an answer, not an estimate. The job’s stage is in the application, not in the foreman’s head.
  • Indicators add up on their own. The indicators module shows how jobs are doing, with no manual report at month end.
Transparency

What to know beforehand

We prefer to be precise from the start, including about the things the application does not do.

  • It is not design software. It does not draw plans and does not replace AutoCAD or rendering programs. It works with estimates, stages, costs and documents.
  • It does not take quantities off plans automatically. The sections are prepared, but you enter the quantities.
  • Material prices do not come from suppliers. There is no automatically updated price database; prices are your company’s own.
  • It does not replace accounting software. It tracks expenses and invoicing per job, but the financial statements stay with your accountant.
  • Installation requires a server. The application runs on your side. If you have no hosting, we set it up together, but it remains the company’s.
Where you are today

If the estimate is an Excel file on one person’s laptop

The problems below are not hypothetical. They are the reasons fit-out companies look for software.

The change that was never invoiced

The client asked for different tiles and an extra socket. It was done, recorded nowhere, never collected.

Changes are recorded on the job, with price and timeline.

Margin discovered too late

At the end the job made less than hoped, but there is no way to find out why.

Real cost is compared with the estimate, section by section.

Material paid for twice

Adhesive was bought for one site, some was left over, and it was bought again for the next.

Stock on site is visible before ordering.

Same licence

Fit-out, MEP or general construction

The Construction edition has three profiles. They are not different products and are not bought separately: you choose the profile at installation and change it if your activity changes.

Fit-out and renovation

Estimates by finishing section, stages from strip-out to handover, changes requested along the way.

MEP

Design and approvals, equipment procurement, testing, handover file and a service stage after handover.

General construction

From earthworks and foundations to structure, envelope and warranty, for building from scratch.

Licensing model

Lifetime licence, no per-user subscription

In a fit-out company, headcount rises and falls with the season. The licence should not penalise you for it.

  • Unlimited users. You can give access to every foreman without the cost going up.
  • Paid once. There is no monthly subscription and no commission on the value of jobs.
  • Prices are published. You will find them on the pricing page, with what each package includes.
  • The data belongs to the company. The database sits on your server, with export, and no conditions on exit.
Implementation

What you get when you sign the contract

Installation on your company’s server

We put the application on your hosting and configure it for the Fit-out profile.

Your estimate

We enter the sections and prices you work with, so the first estimate is ready the same day.

Users and roles

We configure access: office, foremen, field, accounting.

Security

Where the data lives and who sees it

  • Installation is on your side. Client data and prices do not pass through our infrastructure.
  • Access is by role. A foreman sees their own jobs, not the company’s margin.
  • Purchase prices stay internal. Separate from what the client sees in the quotation.
  • No vendor lock-in. The database belongs to the company, exportable at any time.
Frequently asked questions

Answers about the Fit-out profile

Are fit-out and MEP two different programs?

No. They are two profiles of the same Construction edition, with different estimate sections and stages. You buy one licence, and the profile is chosen at installation and can be changed.

Does the estimate come with predefined sections?

Yes, the Fit-out profile brings twelve sections, from strip-out and debris removal to furniture and final cleaning. You can add your own.

How are changes requested by the client along the way handled?

They are recorded on the job, with what they add to price and timeline, so the original estimate and the work actually done stay comparable.

Does it produce progress valuations?

Yes. There is a progress valuation module with PDF generation, plus a handover module, also with PDF.

Does it take quantities off plans?

No. The sections are prepared, but you enter the quantities. The application does not read plans and does not replace design software.

Does it have automatically updated material prices?

No. Prices are your company’s, with your suppliers and discounts. There is no external price database.

Can teams report from site?

Yes, there is a dedicated field screen for reporting what was done without calling the office.

Can I track subcontractors and equipment?

Yes, the edition includes modules for subcontractors, equipment, procurement and stock on site.

Does it cost more if I have more employees?

No. The licence is lifetime, with unlimited users, so the number of people does not change the price.

How do I see the application before ordering?

Ask for demo access. You receive a personal link to the Construction edition test installation, where you can switch to the Fit-out profile.
