Zarina CRM Medical · veterinary profile

Software for veterinary clinics, with the animal record and vaccination schemes

A booster not recalled on time is a client who stops coming. When animal records are on paper and due dates in a diary or someone’s memory, recalls get lost exactly with loyal patients, and schedule slots are hard to fill. Zarina CRM keeps each animal’s record, the vaccination schemes and the due dates that come from them, and shows you who needs to be recalled this week. It is installed on the clinic’s own server, with a lifetime licence.

Clinic workflow

From owner to recall, in 6 steps

Every step exists as such in the application. It is not a presentation diagram; it is the order in which data is entered.

1

The owner

The record of the person who pays for and is responsible for the animal is opened, with contact details and their own history.

2

The animal

Each animal is added under the owner, with species, breed, date of birth and passport or microchip number.

3

The consultation

The reason, examination, diagnosis and treatment are recorded on the animal’s record, not the owner’s.

4

The scheme applied

The vaccine or deworming treatment is ticked on the species scheme, which knows what comes next and at what interval.

5

The recall

The application calculates due dates and produces the list of animals to recall in the period you choose.

6

Payment

Services and products used are invoiced to the owner, with vaccine stock deducted.

The animal record

What the application remembers about each patient

The difference from human medicine software is not cosmetic. The data structure is different, because the patient and the payer are two different individuals.

Animal and owner, linked

The animal is the patient; the owner is the payer. An owner can have several animals, each with its own separate history.

  • All of an owner’s animals in a single list
  • The payer stays on the owner; documents are issued to them
  • Changing owner does not break the animal’s history
  • Contact details used for recalls

Species, breed and passport

The veterinary profile has its own species fields and keeps the animal’s passport number, not a personal ID number.

  • The species selects the available vaccination schemes
  • Passport number, saved on the animal record
  • Date of birth, used to calculate vaccination age
  • Your own fields, if you need others

Weight curve

Weight is recorded at every visit and kept as a series over time, not as a value that gets overwritten.

  • Weighing history for every animal
  • Progress visible between consultations
  • Useful for dosing and monitoring treatments
  • It stays on the record, whoever consulted
Vaccinations and deworming

Schemes come configured by species

The application delivers the common schemes for dogs and cats. Each scheme has a starting age, primary vaccination and booster, so due dates are calculated, not remembered.

Dog

The standard schemes for dogs, each with its own booster interval.

  • Multivalent
  • Rabies
  • Kennel cough
  • Internal and external deworming

Cat

The standard schemes for cats, with the same primary vaccination and booster logic.

  • Trivalent
  • FeLV
  • Rabies
  • Internal and external deworming

Your own schemes

The delivered schemes are a starting point. They can be changed, or others added, per species.

  • Starting age, in weeks
  • Number of doses in the primary course
  • Booster interval
  • Type: vaccine or deworming
Recalls

The list of animals to recall, calculated

Recalls are where clinics lose the most, because they depend on someone’s memory. Here they depend on the scheme and the date of the last administration.

  • Due dates are calculated from the scheme. No separate return date is noted; the application derives it from the animal’s age, the species scheme and what has already been given.
  • The due list is filtered by period. You can pull the animals with vaccines or deworming due in the interval you choose.
  • Recalls are sent in a single run. Notifications go out on the channels configured in your installation, using the owner’s contact details.
  • An appointment can be moved. Rescheduling stays linked to the original event, so the history is not broken.
The rest of the clinic

What else is included, from the Medical edition

The veterinary profile is not a separate product. It is a configuration of the Medical edition, so you also get the rest of its modules.

Appointments and calendar

The clinic calendar by vet and by time slot, with appointments linked to the animal record.

  • Calendar per staff member and per room
  • Appointments linked to patient and owner
  • Visit history per animal
  • Reminders for upcoming appointments

Vaccine and consumables stock

What is administered is deducted from stock, so you do not find out at the stock count that something is missing.

  • Receipts, issues and current stock
  • Deducted on administration
  • Consumables and medication
  • Linked to invoicing

Invoicing and payments

Services and products are invoiced to the owner, with payments tracked on their record.

  • Documents issued to the payer
  • Payments and outstanding amounts
  • Services with their own price
  • Integrations run through your own accounts

Owner portal

The owner can see what concerns their animal without calling the clinic.

  • Access with their own account
  • Documents and history
  • Visible appointments
  • Switched on or off, as you choose

Consents and data protection

Consent texts and data requests are managed in the application.

  • Configurable consent texts
  • Record of consents
  • Personal data requests
  • Sensitive data encrypted

Users and roles

Vets, assistants and reception see only what they need, according to their role.

  • Roles with separate permissions
  • Access log
  • Unlimited users, no per-chair cost
  • Restrictions per module
What the application does not do

It records and calculates, it does not decide

We state them explicitly, because the application is used in veterinary practice.

  • It does not diagnose or recommend treatment. It records what you observed and calculates due dates. The clinical decision belongs entirely to the vet.
  • The delivered schemes must be checked. They come preconfigured according to common practice, but rules and vaccine manufacturers’ recommendations change. Checking remains the clinic’s responsibility; that is why the schemes are editable.
  • It does not report anywhere automatically. There is no transmission to registries or authorities. The data stays with you and is exported on request.
  • It does not calculate drug doses. There is no weight-based dosage calculator; we do not take on a function where an error could reach the patient.
  • We are not a veterinary service provider. We deliver a working tool. Professional liability remains with the clinic.
Transparency

What to know beforehand

We prefer to be precise from the start, including about the things the application does not do.

  • It is not imaging software. The application holds the record, schemes, appointments, stock and invoicing. It does not process radiology images and does not replace laboratory equipment.
  • It does not report to government systems on its own. If you have reporting obligations, for example to the municipality, documents are prepared from the application, but submission remains a step on your side.
  • Integrations run through your own accounts. Payments, email, telephony: each works with your company’s subscription and keys, not ours.
  • The delivered schemes are for dogs and cats. For other species, schemes are added during configuration. We do not claim to cover every animal from the start.
  • Installation requires a server. The application runs on your side. If you have no hosting, we set it up together, but it remains yours.
Where you are today

If recalls are kept in a diary and on WhatsApp

The problems below are not hypothetical. They are the reasons clinics look for software.

The forgotten booster

The animal comes for its primary vaccination, then nobody follows up. The scheme stays unfinished and the owner does not know.

The due date is calculated from the scheme and appears in the period list.

The record on the owner

When two dogs share the same record, history gets mixed up and nobody knows what was given to whom.

Each animal has its own record, under the same owner.

The missing vaccine

A vaccination is booked, and on the day it turns out the dose is no longer in the fridge.

Administration deducts stock, so the stock is real.

Licensing model

A lifetime licence, not a monthly subscription

The veterinary profile is part of the Medical edition. It is paid once, installed on your side and remains the clinic’s.

  • Unlimited users. You do not pay per vet or assistant. The number of accounts does not change the price.
  • The platform is activated by module. Take the core plus the modules you need, not a whole package you do not use.
  • Prices and packages are published. You will find them on the pricing page, with what each option includes.
  • Updates do not lock you in. An existing installation receives new versions without needing a new licence.
Implementation

What you get when you sign the contract

Installation on your server

We install the application on the clinic’s hosting and configure it around the real workflow, not a generic one.

Schemes configured

We enter the schemes you use, with your intervals, and check the due-date calculation.

Team training

Reception, assistants and vets are trained on their own roles, not on every screen of the application.

Fit

Who it is for and who it is not for

It is for

Veterinary practices and clinics that want a record per animal, calculated vaccination schemes and recalls produced automatically, on their own server.

It is for

Clinics with several vets that need separate roles and a shared history for every patient.

It is not for

Anyone looking for imaging, an integrated laboratory or automatic reporting to external systems. Those are not part of the application.

Security

Where the data lives and who is responsible for it

A veterinary clinic’s data includes owners’ personal data. Its place is not with us.

  • Installation is on your side. The application runs on the clinic’s server, so data does not pass through our infrastructure — and stays in the UAE if your server is there.
  • Sensitive data is encrypted. The Medical edition has its own encryption layer for the fields that require it.
  • Access is by role, with a log. You see who opened what, not just who has an account.
  • Consents are kept in the application. The texts are yours and can be edited.
Frequently asked questions

Answers about the veterinary profile

Is the veterinary profile a separate product from the Medical edition?

No. It is a configuration of the Medical edition, with the data structure and schemes adapted to animal clinics. You get the Medical edition, with the veterinary profile activated.

Is the patient the animal or the owner?

The animal. The owner is the contact person and payer, and an owner can have several animals, each with its own record.

Which vaccination schemes come configured?

For dogs: multivalent, rabies and kennel cough. For cats: trivalent, FeLV and rabies. Plus internal and external deworming. Each has a starting age, primary course and booster interval.

Can I change booster intervals?

Yes. The delivered schemes are a starting point; starting age, number of doses and interval can be changed, and due dates are recalculated from them.

How are recalls done?

The application calculates due dates from the scheme and from what has been given, then produces the list of animals due in the chosen period. Notifications go out on the channels configured in your installation.

Can it be used for species other than dogs and cats?

Yes, but schemes for other species are added during configuration. Those delivered from the start are for dogs and cats.

Where is the data stored?

On the clinic’s server. The application is self-hosted, so data does not pass through our infrastructure.

How many users can I have?

Unlimited. The licence is not paid per user, so the number of vets and assistants does not change the price.

Is invoicing included in the application?

Yes, to the owner as payer, with payments and outstanding amounts. Invoicing integrations work through your company’s own accounts.

How do I see the application before ordering?

Ask for demo access. You receive a personal link to the Medical edition test installation, with demonstration data.
