Zarina CRM · data migration

Moving to Zarina CRM, with your old data brought over and checked before import

The reason companies stay on a CRM that no longer serves them is almost always the same: fear of losing data in the move. It is a well-founded fear, because a badly done import duplicates clients, corrupts special characters and mixes up pipeline stages. Zarina CRM brings data in from a file exported from the old system, matches the columns on its own, shows you what will go in before it goes in, flags matches with what you already have and, for operational imports, lets you undo the whole operation.

How data is moved

6 steps, two of which are checks

There is no magic button. There is a short path in which every step can be stopped before it breaks anything.

1

Export

Export the data from the old system to CSV or Excel. Any serious CRM has an export; if yours does not, we help you get the data out of the database.

2

Upload

The file goes into the application. xlsx, csv, txt and tsv are accepted, up to 10 MB per file.

3

Column matching

The application recognises common column headers on its own and proposes the mapping. Whatever it misses, you correct from the list.

4

Preview

You see what will go in, row by row, with errors marked and matches with the existing database flagged. Nothing has been written yet.

5

Import

Only what you confirmed runs. The import is logged with the date, the user and the number of rows.

6

Check

You check a sample in the application. For operational imports, if it is not right, the whole import is undone.

What can be moved

Three importers, for three kinds of data

There is no single universal import, because a client, a lead and a supplier are not checked the same way. Each has its own logic.

Clients and contacts

Companies and individuals, with tax details, contacts and assigned owner. Conversion to the correct encoding happens on reading, so special characters are not corrupted.

  • Name, TRN, trade licence number
  • Phone, email, address
  • Owner assigned per client
  • Matches with the existing database, flagged

Leads and pipeline

Opportunities with the stage they are in, value, probability and the source they came from. The pipeline is not flattened on import.

  • Pipeline stage
  • Value and currency, with exchange rate
  • Probability of winning
  • Lead source

Operational data

Suppliers, expenses, cash transactions, equipment and projects. Here there is an import history and undo.

  • Suppliers, with TRN and trade licence number
  • Expenses and cash transactions
  • Equipment and projects
  • Undoing an import that has run
Column matching

You do not have to rewrite table headers

The application knows the ways columns are usually named, in English and Romanian, and matches them to its own fields.

  • Recognised synonyms. A column called supplier, name, company, firm or vendor ends up in the same field. The same for the tax number: TRN, VAT number, tax ID, CUI, CIF.
  • Spelling differences do not matter. Upper case, extra spaces, accents or their absence — column headers are normalised before comparison.
  • What is not recognised is picked from a list. For unusual columns you choose the target field manually. Once, not on every import.
  • Downloadable template. If you prefer to build the file from scratch, download the template with exactly the columns the application expects.
What is checked beforehand

The preview is where mistakes are stopped

The preview step is not a summary. It is the actual list of rows, with problems marked on each.

Duplicates in the file

Rows repeated in the uploaded file are flagged by the keys that identify the record, not by the whole row.

  • Matching on TRN and name
  • Duplicate row, marked
  • You choose what is kept
  • No doubled database

Matches with the existing database

If a record in the file resembles one you already have, it is shown before the import, not after.

  • Comparison with current data
  • Matches, listed
  • The decision stays with you
  • Useful for repeated imports

Errors per row

Rows with missing data or the wrong format are marked individually, with the reason. The rest of the file is not blocked by them.

  • Error reason, per row
  • Partial import is possible
  • Correct and re-upload
  • Nothing is half-written
The safety net

Operational imports can be undone

It is the difference between an import you try calmly and one you dread.

  • Every import is logged. It is known which entity was imported, when, by whom and how many rows went in.
  • Undo removes exactly what went in. For suppliers, expenses, cash, equipment and projects, undoing an import deletes the records it created, nothing else.
  • An import is undone only once. An import already undone cannot be undone a second time, and an unfinished one is out of the question.
  • For clients and leads there is no automatic undo. We say it plainly: there the safety net is the preview, plus a database backup taken before the import. We show you how to do it.
Transparency

What to know beforehand

The part other vendors leave until after the signature.

  • There is no direct connector to another CRM. Migration is done from a file exported from the old system. We do not connect via API to HubSpot, Pipedrive, Salesforce or others; if you need a permanent connection, that is separate work.
  • Activity history does not move in full. Clients, leads and operational data are imported. The call log, emails and notes from the other system have no structural equivalent and usually stay there or are attached as a document.
  • Files do not come on their own. Documents attached in the old system are downloaded and uploaded separately; there is no automatic transfer of attachments.
  • 10 MB per file. A large database is split into several files. It is not a limitation that blocks anyone, but it is good to know beforehand.
  • The clean-up is yours to do. If the old database has 4,000 clients of which 1,200 are duplicates, the import will flag them, but deciding what to keep is your call. We can do the clean-up as a service, if you prefer.
What usually goes wrong

Three classic mistakes when moving from a CRM

We have seen them with clients who came to us after a rushed migration.

Corrupted special characters

The export comes in a different encoding than the import expects, and half the names end up with symbols instead of letters. It is noticed two weeks later, when someone searches for a client and cannot find them.

Conversion to the correct encoding happens when the file is read, before any matching.

The doubled database

The import is run twice, because the first time it “did not work”. Now the database has every client twice, and reports show double.

Matches with existing records are shown before the import, not after.

The flattened pipeline

All leads go into the first stage, with no value and no probability, because the import did not know what to do with those columns. The sales forecast becomes useless.

Stage, value, probability and source have their own fields on import.

If you would rather not do it yourselves

Migration as part of implementation

Export analysis

You send us the export from the old system and we tell you what can be moved, what cannot and where the problems in the data are, before any import.

Import on a test environment

We run it first on a test installation, check the result together and only then import into the live installation.

Handover with checks

We check a sample of clients, leads and documents together, and only then consider the migration complete. Details are on the implementation page.

Fit

Who it is for and who it is not for

It is for

Companies paying monthly for a cloud CRM, with a few thousand clients already in it, that want to move to a lifetime licence without starting from zero.

It is for

Companies that have kept records in Excel for years and need those files to end up in a system, not in the bin.

It is not for

Anyone who needs permanent two-way sync between Zarina CRM and another system. That is an integration, not a migration, and is discussed separately.

Data during migration

Where the files you upload end up

A client export is a database of people. It deserves a clear question and a short answer.

  • On your server. The file is uploaded to your Zarina CRM installation. It does not pass through any of our services and is not stored with us.
  • Temporary files are cleaned up. Intermediate data from the preview step does not stay on disk indefinitely.
  • Imports are done by a user with the right permission. It is not an action any account can trigger; it is granted by role, like any other sensitive operation.
  • If we do the migration. We sign a data processing agreement, work on your environment and delete the working copies at the end. We keep no exports after the work is finished.
Frequently asked questions

Answers about data migration

Which CRMs can you move from?

From any that allows export to CSV or Excel — in practice, all of them. It does not matter which system you had before; what matters is the columns in the exported file. There is no direct connector to any particular CRM.

Which file formats are accepted?

xlsx, csv, txt and tsv, up to 10 MB per file. A larger database is split into several files and imported one by one.

Do special characters get corrupted?

No. The file is converted to the correct encoding when read, before columns are matched. It is the most common import problem and is handled from the start.

What happens if I import the same file twice?

In the preview you will see the matches with records you already have, before anything is written. For operational imports, if it happened anyway, the import can be undone.

Do pipeline stages move too?

Yes. The lead import has fields for stage, value, currency, probability of winning and source. The pipeline does not end up flattened in the first column.

Does conversation history move too?

Usually not. The call log, emails and notes from the other system have no structural equivalent we could fill in correctly. They can be attached as a document to the client, if the export contains them.

How long does a migration take?

It depends almost entirely on how clean the data is, not on volume. A clean export of a few thousand clients is imported the same day. An export with duplicates and mixed-up columns needs cleaning first.

Can I try the import before buying?

Yes. Ask for demo access and upload a file with a few dozen rows from your database. You see exactly how matching and preview look, on your own data.

Is migration included in the price?

You can do imports yourselves; they are part of the application. If you prefer us to do them, they are part of the implementation; the terms are on the pricing page.

What happens to the old CRM?

We recommend keeping it active for a month after migration, read-only, until you are sure nothing is missing. Only then close the subscription.
