Zarina CRM Medical · dental profile

Software for dental clinics, with a dental chart per tooth and surface

A treatment plan the patient did not understand is a plan never started. When the state of the teeth, the plan and the estimate live in different places, the patient receives an amount without explanation and postpones, and the colleague who takes over the case redoes the consultation from scratch. Zarina CRM keeps the state of every tooth, the treatment plan and the estimate that comes from it in the same record, so the patient sees what will be done and what it costs. It is installed on the clinic’s own server, with a lifetime licence.

Clinic workflow

From consultation to paid treatment, in 6 steps

Every step exists as such in the application. It is not a presentation diagram; it is the order in which data is entered.

1

The patient

The record opens, with contact details, history and signed consents.

2

Existing status

What exists now is charted on the odontogram, on every tooth and every affected surface.

3

The plan

Proposed treatments go on the plan layer, so they stay separate from what already exists.

4

The estimate

The estimate is issued from the plan, with your clinic’s treatments and prices.

5

Sessions

As work is carried out, the treatment moves from the plan layer to the completed layer, with its date.

6

Payment

Completed treatments are invoiced, with payments and outstanding amounts tracked per patient.

The odontogram

Three layers on the same dental chart

Separating what exists, what is planned and what has been done is what distinguishes a dental record from an ordinary medical record.

Existing, planned, completed

The same tooth can have a recorded state, a proposed one and a completed one at the same time, without overwriting each other.

  • Existing layer: what you found at consultation
  • Plan layer: what you proposed to the patient
  • Completed layer: what was done, with the date
  • The plan can be marked as completed or cancelled

Tooth states

Each state has its own representation on the chart, so the record can be read at a glance.

  • Caries, filling, sealant
  • Crown and bridge
  • Implant and root canal treatment
  • Missing tooth

Charting on surfaces

Lesions and treatments are charted on the actual surface, not globally on the tooth.

  • Mesial, occlusal, distal, buccal, lingual
  • On anterior teeth, occlusal becomes incisal
  • In the maxilla, lingual becomes palatal
  • Several surfaces on the same treatment
Dentition

Permanent and primary dentition

The chart covers both dentitions, so the clinic can also treat children, without a separate record.

  • Permanent dentition, in four quadrants. Numbering by quadrant, with all the teeth of each quadrant, in the notation commonly used in practice.
  • Primary dentition, in its own quadrants. Baby teeth have their own quadrants, so a child’s record is not improvised on the adult chart.
  • The application knows the tooth’s position. The application knows whether the tooth is upper or lower and anterior or posterior, and surface names adapt on their own.
  • History stays on the tooth. What was done on a tooth is visible over time, not just its latest state.
Periodontal and orthodontic

Two additional records, in the same application

For clinics that do periodontics and orthodontics, the data sits next to the odontogram, not in a separate notebook.

Periodontal status

Periodontal measurements are saved on the patient and stay comparable between sessions.

  • Dedicated periodontal chart
  • Summary per patient
  • Measurement history
  • Filled in only where needed

Orthodontic status

Classification and appliance are recorded in a structured way, not as free text in a note.

  • Angle class, with the usual subdivisions
  • Degree of crowding
  • Appliance type: fixed metal, fixed ceramic, lingual and others
  • Records per patient, over time

Sensitive data, encrypted

Dental records contain health data. The Medical edition stores it encrypted in the database.

  • Encryption on sensitive fields
  • Role-based access, with a log
  • Consents managed in the application
  • Data-subject requests, with records
The rest of the clinic

What else is included, from the Medical edition

The dental profile is not a separate product. It is a configuration of the Medical edition, so you also get the rest of its modules.

Appointments and calendar

Calendar per dentist and per chair, with sessions linked to the treatment plan.

  • Calendar per staff member and per room
  • Sessions linked to the patient record
  • Visit history
  • Reminders for upcoming appointments

Quotations and estimates

The estimate is issued from the plan, so the figure in the quotation matches the treatments charted on the teeth.

  • Estimate based on the treatment plan
  • Your own prices per treatment
  • Document sent to the patient
  • History of options

Stock and consumables

Materials used are deducted from stock, so consumption is visible, not estimated.

  • Receipts, issues and current stock
  • Consumables and materials
  • Linked to completed treatments
  • Linked to invoicing

Invoicing and payments

Completed treatments are invoiced to the patient or the payer, with outstanding amounts tracked.

  • Documents issued from the application
  • Partial payments and outstanding amounts
  • Services with their own price
  • Integrations run through your own accounts

Patient portal

Patients can see their documents and appointments without calling reception.

  • Access with their own account
  • Documents and history
  • Visible appointments
  • Switched on or off, as you choose

Users and roles

Dentists, nurses and reception see only what they need, according to their role.

  • Roles with separate permissions
  • Access log
  • Unlimited users, no per-chair cost
  • Restrictions per module
What the application does not do

It records and calculates, it does not decide

Limits are stated as clearly as features, because this is a tool used next to the patient.

  • It does not diagnose. The odontogram records the state found by the dentist. The application does not interpret X-rays, does not identify lesions and does not propose a diagnosis.
  • It does not recommend treatment. The application provides the structure of the plan, but therapeutic indications and the sequence of treatments remain entirely the dentist’s. There are no automatic suggestions.
  • It does not read images. X-rays and photos are attached to the record as documents. There is no automatic image analysis.
  • The estimate is an estimate. It results from the prices you enter and the charted plan. It does not guarantee the final cost of treatment.
  • We are not a healthcare provider. We deliver a working tool. Professional liability and reporting obligations remain with the clinic.
Transparency

What to know beforehand

We prefer to be precise from the start, including about the things the application does not do.

  • It is not imaging software. The application holds the record, odontogram, plan, appointments, stock and invoicing. It does not process X-rays and does not connect to the radiology sensor.
  • It does not replace communication with the dental lab. Lab work is tracked in the application, but the exchange with the lab remains your process.
  • It does not report to insurers on its own. Documents are prepared from the application; submission to insurers remains a step on your side.
  • Integrations run through your own accounts. Payments, email, telephony: each works with your company’s subscription and keys, not ours.
  • Installation requires a server. The application runs on your side. If you have no hosting, we set it up together, but it remains yours.
Where you are today

If the dental chart is kept on paper and the estimate in Excel

The problems below are not hypothetical. They are the reasons clinics look for software.

The plan that gets lost

The patient accepts a plan over four sessions, comes back three months later and nobody knows exactly what was left to do.

The plan stays on its own layer, with what was done and what was not.

The estimate that does not match

The estimate is written separately from the record, and at the end the amounts do not match the treatments actually done.

The estimate is issued from the plan, so it starts from the same treatments.

The paper record

A paper odontogram cannot be compared over time and gets lost when the patient changes dentist within the clinic.

The state of each tooth stays in the application, with history.

Licensing model

A lifetime licence, not a monthly subscription

The dental profile is part of the Medical edition. It is paid once, installed on your side and remains the clinic’s.

  • Unlimited users. You do not pay per dentist, nurse or chair. The number of accounts does not change the price.
  • The platform is activated by module. Take the core plus the modules you need, not a whole package you do not use.
  • Prices and packages are published. You will find them on the pricing page, with what each option includes.
  • Updates do not lock you in. An existing installation receives new versions without needing a new licence.
Implementation

What you get when you sign the contract

Installation on your server

We install the application on the clinic’s hosting and configure it around the real workflow, not a generic one.

Your own treatments and prices

We enter the clinic’s list of treatments and fees, so estimates come out right from day one.

Team training

Reception, nurses and dentists are trained on their own roles, not on every screen of the application.

Fit

Who it is for and who it is not for

It is for

Dental practices and clinics that want an odontogram by surface, a treatment plan separate from the status and estimates that start from the plan.

It is for

Clinics with several dentists, where the record must read the same for whoever takes over the patient.

It is not for

Those looking for integrated imaging, a connection to the radiology sensor or automatic reporting to insurers.

Security

Where the data lives and who is responsible for it

A dental record is health data. Its place is not with us.

  • Installation is on your side. The application runs on the clinic’s server, so data does not pass through our infrastructure — and stays in the UAE if your server is there.
  • Sensitive data is encrypted. The Medical edition has its own encryption layer for the fields that require it.
  • Access is by role, with a log. You see who opened what, not just who has an account.
  • Consents are kept in the application. The texts are yours and can be edited.
Frequently asked questions

Answers about the dental profile

Is the dental profile a separate product from the Medical edition?

No. It is a configuration of the Medical edition, with the odontogram, the treatment plan and the periodontal and orthodontic records. You get the Medical edition, with the dental profile activated.

How does the odontogram work?

On the same dental chart there are three layers: what you found, what you planned and what has been done. They do not overwrite each other, so you can see at any time what remains to be done.

Can treatments be charted on surfaces, not just on the tooth?

Yes. Charting is done on mesial, occlusal, distal, buccal and lingual surfaces, and the application adapts the names: on anterior teeth occlusal becomes incisal, and in the maxilla lingual becomes palatal.

Does it cover the primary dentition too?

Yes. The chart includes both permanent and primary dentition, in their own quadrants, so a child’s record is not improvised on the adult chart.

Which states can be marked on a tooth?

Caries, filling, sealant, crown, bridge, implant, root canal treatment and missing tooth, each with its own representation on the chart.

Is the estimate made separately from the record?

No. The estimate starts from the treatment plan, so the treatments in the quotation are exactly those charted on the teeth, with your clinic’s prices.

Is there a periodontal and an orthodontic record?

Yes, both, on the same patient. The orthodontic status includes Angle class, degree of crowding and appliance type.

Where is the data stored?

On the clinic’s server. The application is self-hosted, and sensitive fields are encrypted in the database.

How many users can I have?

Unlimited. The licence is not paid per user or per chair, so the number of dentists and nurses does not change the price.

How do I see the application before ordering?

Ask for demo access. You receive a personal link to the Medical edition test installation, with demonstration data.
