Part of the Zarina CRM core

A sales pipeline, with every opportunity on a clear stage

Opportunities are shown on a board with stages, are moved between them by dragging and keep their value, their owner and their history. What happens to each deal no longer depends on the consultant’s memory: the stage, the next deadline and the reason for losing stay in the system, and the value in play is visible at any moment.

Works together with: Web quotes with tracking, Integrated telephony, Zarina SMART.

The problem

The situation today, when sales are kept in people’s heads and in spreadsheets

The problem is not the team’s effort, but the lack of a shared picture of the deals in play.

  • Nobody knows exactly what is in play The value of open deals is estimated in the meeting, by asking people one by one. The figure differs from person to person.
  • Opportunities get stuck unnoticed A deal that sits two months on the same stage triggers no alert. It is discovered when the client has bought from someone else.
  • There is no agreed next step With no deadline and no owner on the current stage, following up depends on each person’s discipline.
  • The reasons for losing are not recorded Deals are lost without the company finding out why: price, lead time, a missing feature, competition. The same mistake repeats.
  • Handing over a portfolio is a nightmare When a consultant leaves, the context of the deals in play leaves with them. Everything starts again from zero with the client.
  • There is no forecast Without values and stages, there is no way to estimate what will be collected next month. Planning becomes guesswork.
What the module does

What the sales pipeline includes

It is part of the application core, so it is available in every configuration, from day one.

01 / 06

A board with configurable stages

The stages follow your process, not an imposed one.

  • Stages defined by the company
  • Your own order and names
  • Move by dragging
  • Status visible to the team
02 / 06

Opportunities with a value and a deadline

Every deal carries the data that matters.

  • An estimated value
  • The client or lead it belongs to
  • An owner assigned
  • A deadline for the next step
03 / 06

Conversion from a lead

Moving from interest to a deal happens in one step.

  • A lead converted into an opportunity
  • The data carried over, without retyping
  • The history of the conversations kept
  • The original source stays marked
04 / 06

The link with the quotes

The pipeline and the quoting work on the same data.

  • A quote generated from the opportunity
  • The value updated from the quote
  • Status in sync
  • The document attached to the deal
05 / 06

Filtering and search

The board stays usable at high volumes.

  • Filters by owner and stage
  • Filters by period and value
  • Search by client
  • A list or board view
06 / 06

Reasons for winning and for losing

Closing a deal produces information.

  • A reason recorded when losing
  • The win date logged
  • Reporting by reason
  • Process decisions on real data
What changes

What changes in the first month after the pipeline module is switched on

The direct effects of all deals in play being visible in the same place.

One figure in the meeting

The value in play is no longer estimated.

  • A total by stage
  • By owner and period
  • The same picture for everyone
  • A conversation about actions, not about figures

Stuck deals brought to the surface

Stagnation becomes visible.

  • Time spent on a stage
  • Deals with no recent activity
  • Deadlines overdue
  • Intervention in time

Follow-up without relying on memory

The next step is written down, not remembered.

  • A deadline on every opportunity
  • Tasks linked to the deal
  • Reminders in the application
  • Nothing is forgotten

Handover without losing context

Taking over a portfolio becomes a simple operation.

  • A full history on the deal
  • Attached documents
  • Reassignment between active users
  • The client repeats nothing

Learning from losses

The reasons become a management instrument.

  • A report on reasons for losing
  • Comparison between periods
  • Price or product issues
  • Decisions backed by evidence

A realistic forecast

Next month can be estimated.

  • The value on advanced stages
  • The historical conversion rate
  • Comparison with previous periods
  • Planning on data
In the application

The path of a deal, step by step

The same flow for a sale of a few hundred dollars and for a large contract.

A Kanban sales pipeline in Zarina CRM: columns by stage (New, Contacted, Qualified, Negotiation) with the value and the score on each lead
  1. 1

The interest comes in as a lead

The request arrives from a form, phone, email or campaign and becomes a lead, with the source marked and an owner assigned.

  2. 2

The qualified lead becomes an opportunity

When the conversation gets substance, the lead is converted into an opportunity, with an estimated value and a deadline for the next step. The data is not retyped.

  3. 3

The opportunity advances through the stages

Moving between stages is done by dragging, and every change stays in the history, with the author and the date.

  4. 4

The quote goes out from the same record

The document is generated from the opportunity, and the value of the deal is updated from the quote.

  5. 5

    Closing produces information

On a win the date is recorded; on a loss, the reason. Both feed the reporting, not just the statistics.

  6. 6

    A won deal carries on

The won opportunity stays linked to the client, to the invoice and to their history, so the relationship has full context.

Stages

The stages, configured on your process

A pipeline imposed by the software does not get used. The stages are defined on the way selling actually happens in your company.

An example of a structure

A starting point, not a rule.

  • A new request
  • Qualification
  • Quotation
  • Negotiation
  • Won or lost

Your own names and order

Every company has its own vocabulary.

  • Stages added or removed
  • Reordering
  • Names in the company’s own language
  • Changeable later

Several processes, if needed

Not all sales look the same.

  • Different processes by type of sale
  • Separate stages
  • Reporting on each one
  • Discussed at implementation

Your own fields on the opportunity

The information specific to your industry.

  • Custom fields
  • Your own value lists
  • Mandatory on certain stages
  • Used in filters and reports
Rights

Who sees and who moves the opportunities

Visibility follows the structure of roles and teams, not each person’s goodwill.

  • A consultant sees their own portfolio The deals assigned to them and, depending on the configuration, those of the team and the unassigned ones.
  • The coordinator sees the team A sales manager has the picture of the team they lead, within the configured limits.
  • Management sees everything The administrator and the financial roles have the full picture, including values and margins, where they are entitled to.
  • Reassignment is a controlled operation Moving a deal to another user requires edit rights and stays recorded in the history.
  • Changes stay in the history A change of stage, of value or of owner is logged with the author and the date.
  • Data on the company’s server The pipeline and the history stay in your own installation, with no copy at an external provider.
Automations

What happens automatically around a deal

Mechanisms that cut administrative work without making commercial decisions for the team.

Tasks on the next step

Following up does not depend on memory.

  • A task with a deadline on the opportunity
  • Visible in the calendar
  • A reminder in the application
  • A history of the activity

Scheduled follow-ups

Deals on hold are not forgotten.

  • Follow-up sequences
  • They stop at the first reply
  • Configurable by stage
  • A log of what was sent

An alert on stagnation

Blockages are flagged.

  • Deals with no recent activity
  • Deadlines overdue
  • A notification to the owner
  • A report on blockages

Updating from the quote

The value is not maintained twice.

  • The value taken from the quote
  • Status in sync
  • Attached document
  • No double entry

Internal notifications

The team finds out about the important events.

  • A new lead assigned
  • A quote accepted
  • A deal won
  • Configurable per user

Scheduled reports

The picture reaches the decision-makers.

  • Periodic report by email
  • Value by stage
  • Comparison with the previous period
  • Export attached
Who sees what

The commercial history stays with the company

The pipeline is the company’s commercial memory. It is treated as such.

  • The history belongs to the record, not to the person When a consultant leaves, the deals and their context stay in the system, not on their device.
  • Access limited by role Values and margins are limited to the roles explicitly granted that right.
  • Deletion is controlled Records go through the bin, they do not disappear permanently at one click, and the operation stays recorded.
  • Exports respect the rights A user exports only what they are entitled to see, and the operation is logged.
  • An audit log Important changes stay verifiable by the administrator.
  • Requests about personal data The data of the people in the opportunities is covered by search, export and anonymisation on request.
What you need

What needs preparing so the pipeline module is useful from day one

The pipeline works immediately, but its value depends on a few decisions taken at implementation.

01

The real sales stages

The foundation of the whole module.

  • The stages actually used
  • Your own names
  • The criterion for moving between stages
  • Agreed together
02

The team structure

It decides visibility.

  • Users and roles
  • Teams and coordinators
  • Assignment rules
  • Reviewable later
03

The existing portfolio

The pipeline starts from reality.

  • Deals in play, imported
  • Values and stages
  • Owners
  • The import is checked before saving
04

The reasons for losing

The list that produces useful information.

  • The reasons common in your industry
  • A short list, not an exhaustive one
  • Mandatory at closing
  • Reviewable later
05

The discipline of updating

The board shows what is recorded.

  • An update at every contact
  • A deadline on the next step
  • Rules agreed internally
  • Checked in the first weeks
06

The specific fields

Only the ones actually used.

  • Custom fields
  • Mandatory on certain stages
  • Used in reports
  • No decorative fields
What it does not do

The limits of the pipeline module, stated explicitly

The pipeline organises the commercial process. It does not sell for the team and does not produce guaranteed forecasts.

  • It does not generate new requests The pipeline organises the interest you already have. Generating requests is done through marketing, campaigns and communication channels.
  • The forecast is an estimate The value on advanced stages and the historical conversion rate produce an estimate, not a guarantee of collection.
  • It shows only what is recorded A conversation that happened and was not logged does not appear on the board. The quality of the picture depends on the team’s discipline.
  • It does not replace detailed reports For lists, complex filters and export, the reports module and statistics are used.
  • It does not impose a universal process If you do not set the stages and the criteria for moving between them, the board becomes a colourful list with no management value.
  • It does not calculate complex commissions automatically Commissions are configured separately, with their own rules, in the dedicated module.

Comparison

A pipeline in files, in a subscription or on your own platform

Tracking opportunities is the first thing a growing team loses.

With spreadsheets

The option most companies start from.

  • Every agent keeps their own list, in their own format
  • There is no view of what happened between two updates
  • The reasons for losing are not recorded
  • The forecast is made by estimating, not from data

With a monthly subscription

The platforms where you pay per user, every month.

  • A monthly cost for every member of the team
  • The client portfolio sits with the vendor
  • The useful features are in the expensive tiers
  • Stopping the subscription blocks access to the data

With Zarina CRM

Installed on the company’s server, with a permanent licence.

  • Stages, an owner and a value on every opportunity
  • The history stays when someone leaves the team
  • The reason for losing, recorded and reportable
  • A permanent licence, unlimited users
Who it is for

When this module makes sense and when it does not

We prefer to say from the start in which situations the module is not worth its cost, so the sales conversation does not begin with the wrong expectations.

It makes sense if

The situations in which the module pays for itself quickly.

  • You have several agents and opportunities that overlap
  • The sales cycle takes weeks or months, with several touches
  • You want to know why deals are lost, not only how many
  • Management asks for a forecast, not monthly reports

It does not make sense if

The situations in which we recommend not buying it now.

  • You sell over the counter, with the decision on the spot and no follow-up
  • You work alone, with fewer than ten open opportunities
  • You have no distinct stages, only order and delivery
  • Nobody has time to update the stages

Frequently asked questions

Questions about the sales pipeline

Can I set my own sales stages?
Yes. The stages, their names and their order are configured on your process and can be changed later, without affecting the existing deals.
Are opportunities moved by dragging?
Yes, directly on the board. Every move stays in the history of the deal, with the author and the date, so it can always be checked who changed what.
What does a consultant see compared with a manager?
The consultant sees the deals assigned to them and, depending on the configuration, those of the team and the unassigned ones. The manager sees the team they lead, and management sees everything.
Can we track why we lose deals?
Yes. When a lost deal is closed, the reason is recorded from a list you define, and the reporting shows the dominant causes by period.
What happens when a consultant leaves the company?
The account is deactivated and the deals are reassigned to an active user. The history, the documents and the context stay in the system.
Does the pipeline make sales forecasts?
It gives an estimate, based on the values on the advanced stages and the historical conversion rate. It is a planning instrument, not a guarantee.
Can I have different processes for different types of sale?
Yes, and this is analysed at implementation, because it affects the reporting. We do not recommend more processes than are strictly necessary.
How does the pipeline connect to quotes and invoices?
The quote is generated from the opportunity, the value of the deal is updated from the quote, and the invoice stays linked to the same client and the same history.
Can I add my own fields on opportunities?
Yes, through the custom fields module. Our recommendation is to add only fields you will use in filters or in reports.
Is it included in the price or bought separately?
It is part of the mandatory core, so it is in every configuration, at no extra cost.
