The Operations and projects package

Events and registrations, from the form to confirmed attendance

Courses, webinars, demonstrations and presentation events are run from the CRM: a public registration page, controlled capacity, a waiting list, automatic confirmations and check-in at the door. Every attendee becomes a record in the database, with the event kept as the source, so the organising effort turns into opportunities you follow up.

In short

Events and registrations in a CRM: places, confirmations and check-in. Courses, webinars, demonstrations and presentation events are run from the CRM: a public registration page, controlled capacity, a waiting list, automatic confirmations and check-in at the door. The Operations and projects package. Lifetime licence, installation on the company’s server and unlimited users.

Works together with: Form builder, Email marketing, WhatsApp Business.

The problem

The current situation, when registrations pile up in forms and spreadsheets

An event generates concentrated commercial interest. Without records, that interest evaporates within days.

  • Registrations land in separate spreadsheets Attendee data stays in a file or an external form, with no link to existing clients and leads.
  • Capacity is managed by hand The number of places is tracked from memory. Either places stay empty, or more registrations are accepted than the room can hold.
  • Confirmations and reminders are sent manually Every message means administrative work. With dozens of attendees, reminders go out late or not at all.
  • Actual attendance is unknown The difference between registered and present is the most useful information for the next event, and it is exactly what nobody records.
  • Commercial follow-up is lost After the event, the attendee list reaches sales late, with no owner and no deadline. The interest fades.
  • Personal data is left without a clear regime Attendee lists circulate by email and stay on devices, with no retention policy and no way to delete on request.
What the module does

Events run in the same database as sales

The module covers the whole path: registration page, places, confirmations, attendance, commercial follow-up.

An event with complete details

Every event has a record of its own.

  • Date, time and location
  • Maximum capacity
  • A published description
  • An organising owner

A public registration page

The form is hosted on your own installation.

  • A dedicated public address
  • Configurable fields
  • Protection against automated registrations
  • Available in several languages

Capacity and waiting list

The number of places is respected without intervention.

  • Registrations stop at capacity
  • An automatic waiting list
  • Promotion on the first cancellation
  • Checked on manual additions too

Automatic communications

The attendee gets what they need, when they need it.

  • Immediate confirmation after registering
  • A reminder before the event
  • Access and location information
  • A thank you after attending

Check-in at the door

Attendance is recorded in seconds.

  • A unique code for every attendee
  • Scanning at the door
  • Manual marking, as an alternative
  • A real-time attendance list

The link with the pipeline

Attendees become opportunities you follow.

  • Matched with existing clients and leads
  • A lead created for new people
  • The event kept as the source
  • Assigned to an owner
What changes

What changes at the first event run from the CRM

Direct effects of registrations and attendance sitting in the same database as sales.

01

Zero overbooking

Capacity is respected automatically.

  • A stop at the number of places
  • An active waiting list
  • Automatic promotion on cancellations
  • A full room, not an overfull one
02

Less administrative work

Communications no longer consume the team’s time.

  • Confirmations sent automatically
  • Scheduled reminders
  • No lists sent by email
  • No duplicates to check
03

Attendance known

The next event is planned on data.

  • A report of registered and present
  • Attendance rate by event type
  • Comparison between periods
  • Choosing the right room size
04

Immediate commercial follow-up

The interest is used in the days that follow.

  • Leads created on registration
  • An owner and a deadline
  • Follow-up sequences
  • Commercial results attributed to the event
05

The event’s return, verifiable

The organising budget is justified.

  • Opportunities generated
  • Quotations issued after the event
  • Contracts attributed to the source
  • Cost per opportunity
06

Personal data handled correctly

Attendance does not create compliance risks.

  • Consent recorded
  • A configurable retention policy
  • Deletion on request
  • No lists on personal devices
In the application

The path of a registration, step by step

The same flow for a free webinar and for a course with limited places.

Screenshot from Zarina CRM: events and courses with online registrations, limited places and payments
  1. 1

    The event is published

You fill in the date, the location, the capacity and the description. The public registration page becomes available at its own address, on the company’s domain.

  2. 2

The attendee fills in the form

The fields are the ones you set. The form is protected against automated registrations and checks for duplicates.

  3. 3

    The system checks the places

If places are available, the registration is confirmed immediately. If not, the person joins the waiting list and is told correctly, not refused.

  4. 4

    The attendee receives the confirmation

The message contains the event details and the personal access code. The reminder goes out automatically before the event.

  5. 5

Attendance is recorded at the door

The code is scanned or the attendee is marked manually. The attendance list updates in real time, visible to the organiser.

  6. 6

    Commercial follow-up starts immediately

New attendees become leads, with the event as their source. Existing ones get an activity on their record. Nothing waits for a list to be sent later.

Places

Capacity and waiting list, managed automatically

Limited places are a commercial tool. Managing them by hand, however, produces complaints.

A stop at capacity

No more registrations are accepted than there are places.

  • A check on every registration
  • Valid on manual additions too
  • Protection against simultaneous registrations
  • No overbooking

A waiting list

Extra interest is not lost.

  • Joining the list, with correct information
  • The order is kept
  • Visible to the organiser
  • Usable for the next event

Promotion on cancellations

Freed places fill themselves.

  • Automatic promotion from the list
  • The person is informed immediately
  • The room stays full
  • No last-minute phone calls

Duplicates checked

The same person does not take two places.

  • A check on the email address
  • A clear message on the second attempt
  • The access link resent by email
  • The records stay clean
Attendance

Check-in and attendance: what happens on the day

The door is where the organising shows most clearly, and where mistakes are felt immediately.

  1. 01

Every attendee has a code of their own

The code arrives on registration, by email. It does not depend on a printed list and is not confused between people with similar names.

  2. 02

Scanning is done from a phone

The person at the door uses a phone, with no dedicated equipment. Marking attendance takes a few seconds.

  3. 03

    Manual marking stays available

An attendee who cannot find the email is marked manually, by name. The flow never gets stuck at the door.

  4. 04

    Verification is done securely

Codes are validated only from your own installation, so a copied address does not allow attendance to be marked from outside.

  5. 05

The list updates in real time

The organiser sees how many came in, how many are missing and how many cancelled, without counting by hand.

  6. 06

After the event, the data stays usable

Attendance is kept on the person’s record and feeds reporting, including the comparison with previous events.

Automations

What goes out automatically around an event

Communications are configured once and repeat for every event.

A registration confirmation

The attendee immediately has what they need.

  • Sent on registration
  • The event details included
  • The personal access code
  • Configurable text

A scheduled reminder

Attendance rates rise significantly.

  • A day or a few hours before
  • Access information
  • A configurable channel
  • A log of what was sent

Information for the waiting list

Interest is kept even without a free place.

  • Confirmation of the position
  • A notice when a place frees up
  • An invitation to the next event
  • No pointless messages

A thank you after the event

The moment of greatest receptiveness.

  • A thank-you message
  • Presentation materials attached
  • A request for feedback
  • An offer, where appropriate

Lead creation

Sales receive opportunities, not lists.

  • A lead for new people
  • The event marked as the source
  • Assignment by rules
  • A configurable initial stage

A satisfaction survey

The quality of the organising becomes measurable.

  • A survey sent after the event
  • Answers linked to the attendee
  • A report per event
  • An argument for improvements
Who sees what

Attendees’ data, handled according to the rules

An event collects personal data from people who are not yet clients. Their regime is handled explicitly.

  • Consent recorded at registration The form includes the notice and the consent needed, and the moment it was given stays recorded.
  • A protected form The public page has protection against automated registrations and sending limits, so the database is not polluted.
  • Limited access to lists Attendee lists are consulted in the application, by users with the right. They do not circulate by email and do not stay on personal devices.
  • A retention policy How long attendee data is kept is configurable, and clean-up runs automatically when it expires.
  • Deletion and export on request An attendee’s data is included in search, export and anonymisation on request, including in the attendance records.
  • Data on the company’s server Registrations stay in your own installation. We do not use an external form service and there is no copy at a provider.
What you need

What needs to be prepared to put the events module into service

We do the configuration at implementation, around the types of event you organise.

01

The event types

The flow is configured around the real activity.

  • Webinar, course, demonstration, conference
  • The usual capacity
  • Duration and location
  • An organising owner
02

The form fields

Only what is necessary is collected.

  • Mandatory and optional data
  • Qualifying questions
  • Consent for communications
  • Agreed together
03

The texts of the communications

The messages are written once and reused.

  • Confirmation, reminder, thank you
  • In the languages needed
  • The company’s signature
  • Reviewable later
04

The email server configured

Communications go out through your own server.

  • An active sending account
  • A domain with its reputation configured
  • Checked at implementation
  • A log of what was sent
05

The person at the door

Check-in requires a user account.

  • A phone with a modern browser
  • An account with the check-in right
  • A few minutes of training
  • Manual marking as an alternative
06

Commercial follow-up rules

The interest generated has to be picked up.

  • An owner for new leads
  • An initial stage
  • A deadline for contacting
  • Follow-up sequences
What it does not do

The limits of the events module, stated explicitly

The module manages registrations and attendance. It is not a broadcasting platform and does not process participation fees automatically in every scenario.

  • It does not broadcast the webinar The module manages registrations and communications. The broadcast runs on your own tool, and the link is included in the messages.
  • A participation fee requires the payments module For paid events it is used together with the payments module and a configured processor. Without one, payment is confirmed manually.
  • It does not promote the event The module does not publish adverts and does not run campaigns. For invitations to lists, the email marketing module is used.
  • Capacity is checked per event, not per room The module does not manage seating plans and numbered seats. Events with allocated seats need a separate analysis.
  • Communications depend on the email server If your email server is unavailable, confirmations and reminders wait. Registrations continue to be recorded.
  • It does not issue diplomas or certificates Generating attendance documents can be configured through the documents module; it is not included in this one by default.
Active connections

Collecting participation fees

Payment can be made through a link generated in the platform, and confirming the payment automatically releases the attendee’s access.

Stripe integration with Zarina CRMStripe
PayPal integration with Zarina CRMPayPal
Netopia integration with Zarina CRMNetopia

You choose the processor, and the fees are paid directly to it.

Who it is for

When this module makes sense and when it does not

We prefer to say from the start in which situations the module is not worth its cost, so the sales conversation does not begin with the wrong expectations.

It makes sense if

The situations in which the module pays for itself quickly.

  • You organise conferences, courses or workshops with registration
  • Attendees, partners and sponsors sit in separate files
  • Payments are checked by hand before the event
  • You run editions that repeat, with the same structure

It does not make sense if

The situations in which we recommend not buying it now.

  • You organise one event a year, with twenty guests
  • Registrations go through a specialised platform you already pay for
  • You do not charge participation fees
  • Your events do not produce clients or relationships to follow
How to buy

Which package the events module belongs to

The module is licensed together with the client relationship tools.

The marketing and relations package

It contains events, surveys, reviews and public forms.

What the core includes

The mandatory core brings users and roles, clients and contacts, a lead and sales pipeline, custom fields and 15 interface languages.

Frequently asked questions

Questions about the events and registrations module

Is the registration form hosted with you?
No. The public registration page runs on your own installation, on the company’s domain. We do not use an external form service, so attendees’ data does not reach a third party.
What happens when all the places are taken?
Registrations stop automatically, and interested people join the waiting list, correctly informed. On the first cancellation, the first on the list is promoted and notified.
How is attendance taken at the door?
Every attendee receives a personal code on registration. The person at the door scans it from a phone. Manual marking by name stays available at any time.
Do attendees automatically become leads?
People who are not in the database can become leads, with the event marked as their source and an owner assigned. Existing ones get an activity on their record.
Can I organise events with a participation fee?
Yes, together with the payments module and a configured payment processor. Without one, the organiser confirms payment manually and the registration stays pending.
Can reminders be sent on WhatsApp?
Yes, if the WhatsApp Business module is active, respecting the platform’s rules on business-initiated messages. Otherwise, reminders go out by email.
How is the data of attendees who do not become clients handled?
The retention period is configurable, and clean-up runs automatically when it expires. Anyone can request deletion, handled through the application’s personal data procedures.
Can I see how many confirmed and how many actually came?
Yes. The report compares registered with present, per event and per event type, which allows the next events to be sized correctly.
Does the form work in several languages?
Yes. The public page and the communications can be published in the languages configured in the application, useful for companies that organise events in several countries.
Does the module broadcast the webinar?
No. The broadcast runs on your own tool, and the access link is included automatically in the confirmation and the reminder.
