Zarina CRM Hotel · resort profile

Software for resorts, with everything the guest consumes posted to the room folio

At a resort, accommodation is the simplest part. The problem is the restaurant, the spa, the pool bar and the excursions: every charge ends up on a slip that someone has to link to the right room before check-out. When that is done on paper, disputes arise at departure, and at month end nobody knows what each outlet sold. Zarina CRM keeps an open folio for every stay, where all charges are posted, groups are handled as groups, and availability goes out to booking channels on its own. It is installed on the property’s own server, with a lifetime licence.

The course of a stay

From booking to invoice, in 6 steps

The difference from a small hotel is not in these steps, but in how many charges add up between step three and step five.

1

The booking

It comes in from the website, a booking channel, by phone or as part of a group. In every case it lands in the same calendar.

2

Allocation

The room is assigned by type and by building or zone, with the day-by-day availability view in front of the front desk.

3

Check-in

Arrival is recorded, guest details go into the guest register and the stay’s folio is opened.

4

Charges

Restaurant, spa, bar, excursions, minibar — each charge is posted to the room folio, with the date and the point of sale.

5

Check-out

The folio is closed with everything consumed. No more hunting for slips and no more arguments at departure.

6

The invoice

It comes from the folio, to the guest or a company, with payment recorded and any balance tracked.

The room folio

An open folio per stay, not a pile of slips

It is the module that makes the difference between a resort and a ten-room guesthouse: at one of them, accommodation is a quarter of the bill.

Every charge, in one place

Accommodation, breakfast, restaurant, spa, bar, excursions, minibar. Each line goes onto the stay’s folio with the date and the outlet it came from.

  • Lines per outlet
  • Quantity, price, VAT rate
  • History per day of stay
  • Nothing is lost before check-out

Split bills

Part to the guest, part to a company, part to an agency. It is decided at departure, not at booking, and does not require redoing documents.

  • Invoicing to the guest or a company
  • The agency’s share, separate
  • Deposits deducted automatically
  • Balances tracked

What each outlet sells

At month end you see how much the restaurant, spa and bar brought in, based on real folio lines, not estimates.

  • Revenue per outlet
  • Average spend per stay
  • Comparison between periods
  • No consolidation in Excel
Groups and events

A coach is not 40 separate bookings

Groups are why guesthouse software gives way at a resort. Here they have their own module.

  • An umbrella booking. The group is opened once, with the period, the number of rooms per type and the negotiated terms. Rooms are assigned to names later, when the list arrives.
  • The rooming list, separate from the block. Block the rooms now and fill in names the day before arrival, without redoing the booking.
  • Group-specific terms. Negotiated rate, board included, payment terms and deposit — all on the group, not copied to every room.
  • Central or individual invoicing. One invoice to the organiser or invoices per room, as agreed, from the same group.
  • Events with accommodation. Weddings, conferences, retreats: the same structure, with venues and services added to the folio.
Rates and season

The price that changes six times a year

At a resort, the rate is not a number. It is a grid by season, room type, length of stay and channel.

Seasons and periods

Define the periods once, with their rates, and the calendar applies them on its own. No more changing prices by hand at every season change.

  • Periods with start and end dates
  • Rate per unit type
  • Weekend or holiday supplements
  • Rate per minimum length of stay

Packages and board

Breakfast, half board, full board or packages with services included, each with its own price and contents.

  • Board basis
  • Packages with services included
  • Prices per person or per unit
  • Children with their own rate

Real availability

The calendar shows what is free by day and type, with confirmed bookings, pending ones and group blocks shown separately.

  • View by day and type
  • Group blocks, visible
  • Rooms out of order
  • Overbooking flagged
Booking channels

Availability sent, not updated by hand

A resort sells on several channels at the same time. If availability does not go out on its own, overbooking is a matter of time.

  • Connection to the major channels. Booking.com and Airbnb are connected from day one through iCal calendars, with no separate contract; direct connection to Booking.com, Airbnb and Expedia, with rates sent automatically, is activated after the property’s connectivity contract.
  • Bookings land in the same calendar. A booking from a channel does not sit in a separate list; it reaches the front-desk calendar like any other.
  • Your own booking engine. Your website can have its own booking form, with online payment, so you do not pay commission on the guest who looked you up directly.
  • A single source of truth. A room sold at the front desk reduces the availability sent to channels; it does not stay free there for another half day.
Daily operations

What else is included, from the Hotel edition

The resort profile sits on top of the complete Hotel edition; it is not a separate, smaller application.

Front desk

The day’s arrivals, departures and occupied rooms on a single screen, with actions taken from there.

  • The day’s arrivals and departures
  • Check-in and check-out
  • Room moves
  • Notes on the stay

Housekeeping

The status of every room, assignment to room attendants and confirmation when the room is ready to sell.

  • Status per room
  • Assignment per staff member
  • Rooms by building or zone
  • Faults reported

Unit inventory

Rooms and apartments with their types, capacities, amenities and photos.

  • Types and capacities
  • Amenities per unit
  • Photos
  • Units out of order

UAE compliance

An accommodation property’s local obligations, handled from the data the application already holds.

  • Guest registration card
  • Guest register
  • Tourism Dirham and municipality fee
  • Printable registers

Reports

Occupancy, average rate and revenue by period and channel, on real stay data.

  • Occupancy by period
  • Average rate achieved
  • Revenue by channel
  • Comparison between periods

Users and roles

Front desk, housekeeping, restaurant and administration each see what they need, not everything.

  • Roles by job
  • Access log
  • Restrictions per module
  • Separate outlets
Transparency

What to know beforehand

The part other vendors leave until after the signature.

  • The resort profile is not a different program. It is the Hotel edition configured for a large property: the same modules, with the right terminology and settings. We say so, so you do not pay for the wrong expectation.
  • It is not a point-of-sale system. Outlets post charges to the room folio. If the restaurant needs its own POS, it stays separate, and the connection is discussed as an integration.
  • The channels covered are the ones listed. Booking.com, Airbnb, Expedia and iCal calendars. We do not promise a connection to every channel on the market; if you have a specific one, ask first.
  • There is no spa module with its own appointments. Spa charges go onto the room folio, but booking treatments per therapist is not in the standard package.
  • There is no native mobile app. The interface is web-based and works on a tablet too, but there is no app in the App Store or Google Play.
Where you are today

3 things that happen without a system

These are not hypotheses: they are the reasons large properties come to us.

The unpaid charge

The guest had drinks at the pool, the slip stayed at the bar, and at check-out nobody found it. It happens several times a week, and nobody knows what it adds up to in a month.

The charge goes onto the room folio at the moment of sale, not at departure.

Overbooking

The room was sold at the front desk and on a channel at the same time, because availability was updated by hand, once a day.

Availability goes out from the same source that consumes it.

The group redone

The coach operator sent the rooming list the day before, and the 40 bookings were re-entered from scratch, with mistakes.

The group block is already in place; only the names are filled in.

Licensing model

A lifetime licence, not a per-room subscription

You pay once for the licence. There is no per-room cost, no per-user cost and no monthly fee to keep using the application.

  • Unlimited users. Front desk, housekeeping, restaurant and administration all get access, with no per-account cost.
  • No per-room cost. A property with 40 rooms and one with a hundred and eighty pay the same licence. It is the biggest difference from a cloud system.
  • It runs on your side. On the property’s server or on hosting of your choice. Guests’ data does not pass through us.
  • Prices are not invented here. You will find them on the pricing page, together with what is and is not included in each package.
Implementation

What you get when you sign the contract

Inventory configured

We enter unit types, capacities, buildings or zones and the seasonal rate grid, before the first working day.

Channels connected

We connect the channels you already sell on and check together that availability goes out and comes back correctly.

Training by role

Separate sessions for the front desk, housekeeping and outlets, because each uses a different part of the application.

Fit

Who it is for and who it is not for

It is for

Resorts and complexes with several outlets, where the departure bill contains much more than accommodation.

It is for

Properties that work with groups, coaches and events, and sell on several channels at the same time.

Security

Where the data lives and who is responsible for it

An accommodation property holds identity data for every guest. The question deserves a short answer.

  • On your server. Installation is at the property or on the hosting you choose. There is no copy of guests’ data with us.
  • You are the controller. Under data protection law, the property is the data controller. We intervene only on request, for support.
  • Role-based access, with a log. The bar does not see administration’s payments, and housekeeping does not see identity data. You see who logged in and when.
  • Backups in your hands. We show you how they are made and restored; you do not depend on us for that.
Active connections

The booking channels and services the CRM connects to

At a resort, the room booking is only the beginning: restaurant, spa and activity charges add up on the same bill.

Booking.com integration with Zarina CRMBooking.com
Airbnb integration with Zarina CRMAirbnb
Expedia integration with Zarina CRMExpedia
Stripe integration with Zarina CRMStripe
WhatsApp integration with Zarina CRMWhatsApp

Rooms are sold through Booking.com, Airbnb and Expedia with a shared calendar, while group bookings and events are managed separately from individual ones. The deposit and final bill are collected through Stripe, communication with the guest before and after the stay is by email or WhatsApp, and invoices are issued with VAT and the applicable per-night fees. The full list is on the connectors and API page.

Frequently asked questions

Answers about the resort profile

How does the resort profile differ from the hotel profile?

It is the same Hotel edition. The profile changes the terminology, menu and default settings, and the pages differ in emphasis: at a resort, what matters is the stay folio with many outlets, groups and seasonal rates. We do not sell you a different program and do not pretend otherwise.

Can restaurant charges be posted to the guest’s room?

Yes, that is the purpose of the stay folio. Each line goes in with date, quantity, price and point of sale, and at check-out the folio is closed with everything consumed.

Does it replace the restaurant’s POS?

No. If the restaurant needs its own POS, it stays separate. The application keeps charges on the room folio; connecting to the POS is discussed as an integration and is not in the standard package.

How is a coach of 40 people handled?

As a group: an umbrella booking with the period, the number of rooms per type and the negotiated terms. Rooms are blocked immediately, and the rooming list is filled in when it arrives, without redoing the booking.

Which booking channels does it connect to?

Booking.com, Airbnb and Expedia, plus import and export through iCal calendars for smaller channels. If you sell on a channel not listed here, ask us before the contract.

Can I sell directly from the website, without commission?

Yes. The edition includes its own booking engine for your website, with online payment. Bookings from there land in the same calendar.

Can the agency and the guest be invoiced separately?

Yes. The folio can be split at departure: the agency’s share on one invoice, the guest’s on another, with deposits deducted correctly.

Does it cover local obligations in the UAE?

The compliance module covers the guest registration card, the guest register and per-night fees such as Tourism Dirham and municipality fee, generated from data already entered. Direct submission to authority systems is not included.

Is there a spa module with appointments?

Not in the standard package. Spa charges are posted to the room folio, but booking treatments per therapist and room is not part of the profile; it can be developed separately.

How do I see what it looks like before buying?

Ask for demo access to the resort profile. You receive an email link that opens exactly this version, with sample data, without installing anything.
