The problem

The situation today, when reports are built in spreadsheets

A report built by hand is correct on the day it was made and wrong the day after.

  • Every report costs a day of work Exporting from several places, processing, formatting, sending. At every update, it all repeats.
  • The figures do not match between departments Sales report one number, accounting another, each from a different source.
  • The information arrives late The month’s report is discussed in the middle of the next month, when decisions can no longer change anything.
  • There is no way to drill down A figure that looks bad cannot be broken down immediately by client, product or owner.
  • Sensitive data ends up where it should not A file with margins and payments travels by email, to anyone on the list.
  • There are no comparisons Without a reference to the previous period, the figures do not say whether things are going better or worse.

The direct effects of reports being generated from the same database, in real time.

01

Meetings on figures, not on impressions

The same source for everyone.

02

Decisions on time

The information no longer arrives late.

  • Current data
  • Comparison with the previous period
  • Deviations visible
  • A reaction within the current month
03

The causes, not just the symptoms

Any figure can be broken down.

  • Drill-down by criteria
  • Jumping to the records
  • Saved filters
  • Fast investigation
04

Administrative time recovered

In the application

How a report is produced, step by step

The same mechanism for a sales report and for a support one.

The Zarina CRM report library on sales and pipeline, quotes, invoicing and payments, clients and team
  1. 1

The report is chosen from the report centre

The reports are grouped by area: commercial, financial, operational, personnel.

  2. 2

    The filters are set

Period, owner, team, category, client or product, depending on the report.

  3. 3

The result is calculated on current data

There is no intermediate file. The report reflects the situation at the moment it is generated.

  4. 4

    It can be drilled down

From the total you move to the list of records behind it, to see the cause, not just the figure.

  5. 5

    It is exported, if needed

The export respects the user’s rights and stays recorded in the application log.

  6. 6

    It can be scheduled

A frequently used report is sent automatically, at set intervals, to the chosen recipients.

Reports

The reports used most often

Of all the reports available, these are the ones that produce decisions.

Sales by period and owner

The basic picture of the activity.

  • Value and number of documents
  • By owner
  • Comparison with the previous period
  • Drill-down by client

Quoting and acceptance rate

Where the deals are lost.

  • Quotes issued and accepted
  • By product
  • The level of the discounts
  • Reasons for losing

Overdue amounts and ageing

The money that did not come in.

  • Invoices past due
  • Days overdue
  • By client
  • Prioritising collection

Activity and support

The team’s real work.

  • Activities and tasks
  • Tickets and resolution time
  • Per user
  • Comparison across periods
Rights

Who sees what in the reports

A report that shows everything to everyone becomes an internal security problem.

  1. 01

The reports respect the visibility on the data

A consultant sees the figures of their own portfolio, not those of the company.

  2. 02

Margins and costs have separate rights

Access is granted to the financial and management roles, not by default.

  3. 03

    Rankings are optional

Comparisons between users are limited to coordination roles, if that is how it is configured.

  4. 04

    Personnel reports are separate

Attendance and leave are seen by the human resources roles.

  5. 05

Export does not bypass the rights

There is no way around it: what is not visible in the report cannot be exported.

  6. 06

    Operations stay recorded

Generating and exporting sensitive reports is logged.

Automations

What runs automatically in the reports module

Mechanisms that move reporting out of someone’s job and into the application’s flow.

Scheduled reports

The information arrives on its own.

  • Configurable interval
  • Chosen recipients
  • Export attached
  • Through the dedicated module

Saved filters

The analysis is not rebuilt.

  • Your own filter sets
  • Reusable
  • Shareable, if you want
  • No repetitive steps

Calculated on current data

There are no stale files.

  • Generated on demand
  • No processing steps
  • Automatic comparison
  • Predefined periods

Alerts on deviations

Problems surface on their own.

  • Thresholds on key indicators, where they are configured
  • A notification to the owner
  • Checklist
  • A report on deviations

The link with the central dashboard

The overall picture is permanent.

  • Indicators in the dashboard
  • Jump to the detailed report
  • The same data source
  • No differences between screens

Export for external analysis

The data can travel further.

  • Spreadsheet format
  • By period
  • Respects the rights
  • Recorded
Who sees what

Protecting aggregated information

A report concentrates the company’s most sensitive information into a single file.

  • Checks at data level Restrictions are applied at query time, not by hiding columns in the interface.
  • Exports are recorded Every export stays in the application log, with user and date.
  • Protection inside exported files Spreadsheet files are protected against executable formulas, a real security issue.
  • Scheduled reports go to set recipients The list is configured by the administrator, not filled in freely at every send.
  • No uncontrolled copies Reports generated in the application replace files sent by e-mail and left on devices.
  • Data on the company server The computation runs locally, in your own installation.
What you need

What needs to be prepared to put the reports module into operation

We handle the configuration at implementation, based on the decisions you actually make.

01

The reports that matter

Few and actually used.

  • What is discussed in meetings
  • What drives decisions
  • What is reported outside the company
  • Agreed together
02

The classification structure

Without it, reports are flat.

  • Customer and product categories
  • Departments
  • Tags
  • Configured at implementation
03

Rights over information

Who sees what.

  • Roles with access to margins
  • Roles with access to staff data
  • Rankings, if wanted
  • Reviewable later
04

Historical data

Comparisons need history.

  • Import of earlier documents
  • The period taken over
  • A check before saving
  • Agreed at implementation
05

Recipients of scheduled reports

The information has to reach someone.

  • Recipient lists
  • Frequency
  • Format
  • Agreed together
06

Scheduled tasks on the server

Needed for sending.

  • Active scheduled task
  • Configurable interval
  • Diagnostics on failure
  • Checked during implementation
What it does not do

The limits of the reports module, stated explicitly

The module produces operational reports. It is not an advanced analytics platform and it does not produce statutory statements.

  • It is not a business intelligence tool Complex multidimensional analysis, modelling and pixel-level custom dashboards belong in dedicated tools, built on the export.
  • It does not produce official financial statements The reports are for management. Statutory reporting stays with accounting.
  • It only shows what gets recorded A report cannot make up for activity that was never entered in the application.
  • Heavy reports can take time On large volumes, a multi-year report is generated in a few seconds, not instantly. We recommend filtering by period.
  • It does not interpret the figures for you Explaining variations in plain language can be obtained through the AI analytics module, with its own limits.
  • Comparisons need history In the first months, percentage variations have no useful reference.
Who it is for

When this module makes sense and when it does not

We prefer to say from the start in which situations the module is not worth its cost, so the sales conversation does not begin with the wrong expectations.

It makes sense if

The situations in which the module pays for itself quickly.

  • Reporting is done manually, at month end
  • The same figures are calculated differently by different departments
  • You want filtering by period, agent and product
  • You need an export for further analysis

It does not make sense if

The situations in which we recommend not buying it now.

  • The data volume is too small to produce conclusions
  • Reporting is done by accounting and that is enough
  • The modules that produce the data are not licensed
  • Nobody will use the reports
How to buy

How the reports module is licensed

The module is activated through the licence and completes the central dashboard in the core.

A separately licensed module

It contains the report centre, the filters, the drill-down and the export.

What the core includes

Users and roles, customers and contacts, lead and sales pipeline, custom fields, 15 interface languages and the central dashboard.

Frequently asked questions

Questions about reports and analytics

Are the reports calculated in real time?
Yes, on the current data at the moment of generation. There are no intermediate files that can go stale.
Can a consultant see the company figures?
No. Reports respect data visibility: everyone sees their own portfolio, and the company-wide picture is limited to management roles.
Can I see why a figure looks bad?
Yes. From the total you move to the list of records behind it, with filters by customer, product, owner or period.
Can they be sent automatically by e-mail?
Yes, through the scheduled reports module: interval, recipients and an attached export, without anyone generating them manually.
Can I export the data for analysis in another tool?
Yes, in spreadsheet format, by period, respecting the user’s rights. The operation stays recorded.
Are margins visible to everyone?
No. Access to cost and margin is granted explicitly, to finance and management roles.
Does the module replace a business intelligence tool?
No. It covers the operational reporting management needs. For complex multidimensional analysis you use the export into a dedicated tool.
How long does a multi-year report take?
A few seconds, depending on volume. For very wide queries we recommend filtering by period.
Can I save the filters I always use?
Yes, and the saved set can be reused, so the analysis is not rebuilt every time.
Do the reports explain the variations?
They show the figures and the comparisons. Plain-language interpretation can be obtained through the AI analytics module, with a human checking the result.
